Privacy Policy

Effective Date: February 10, 2026

At HospitalityOS, we are committed to protecting the privacy and security of our website visitors, customers, and newsletter subscribers. This Privacy Policy explains how we collect, use, and safeguard your information when you visit www.hospitalityos.tech or engage with our services.

1. Information We Collect

a. Information You Provide Directly

We collect information that you voluntarily provide to us, including when you:

  • Fill out our contact form (name, email address, company, message content) — submitted via HubSpot
  • Sign up for our email newsletter or research newsletter (name and email address)
  • Request a demo or consultation (name, email, company information)
  • Make a purchase through our website (name, email address, billing information, and payment details processed securely through our third-party payment processor)

b. Information Collected Automatically

When you visit our website, we automatically collect certain information, including:

  • Through Google Analytics (GA4): Pages visited, time spent, geographic location (country, city), device type, browser, operating system, and referring sources
  • Through Plausible Analytics: Aggregate, cookieless analytics on page views, referrer sources, and user interactions (no personal data)
  • Via Cloudflare: Standard CDN and security data including IP addresses, request logs, and security metadata
  • Cookies set by analytics services and third-party tools (see Cookies section below)

This information does not personally identify you unless you've voluntarily submitted personal data.

2. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries submitted through our contact form
  • Send our newsletter to subscribers who have opted in
  • Process and fulfill your purchases
  • Improve our website's functionality and user experience
  • Communicate with you about our services, updates, and relevant information

3. Third-Party Services & Analytics

Google Analytics (GA4)

We use Google Analytics to understand how visitors interact with our website. GA4 collects data such as your IP address, browser type, pages visited, and time on site. This data is anonymized and aggregated — we cannot use it to identify you personally. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

Plausible Analytics

We use Plausible Analytics as a privacy-focused, cookieless analytics alternative. Plausible collects aggregate, non-personal data about page views and user interactions without storing cookies or personally identifiable information. No consent is required for Plausible since it doesn't use cookies or store personal data.

HubSpot

Form submissions (contact forms, demo requests) are processed through HubSpot, a customer relationship management platform. HubSpot stores your submitted information (name, email, message) and may use it to follow up regarding our services. HubSpot's privacy practices are governed by their Privacy Policy.

Cloudflare

Our website is served through Cloudflare for content delivery, performance, and security. Cloudflare may collect standard server logs including IP addresses and request metadata as part of their CDN and DDoS protection services. See Cloudflare's Privacy Policy for details.

4. Cookies

Our website uses cookies — small text files stored on your device — to enable analytics tracking and improve your experience.

Types of Cookies We Use:

  • Google Analytics (GA4): Sets cookies like _ga, _ga_*, and gid to track sessions and user behavior. These are performance/analytics cookies that identify your browser (not you personally).
  • HubSpot: Sets cookies to track form interactions and engagement if you submit a contact form.
  • Cloudflare: May set security-related cookies for protecting our site from threats.
  • Essential Cookies: Used for website functionality (e.g., remembering your preferences).

Plausible Analytics does not use cookies — it's entirely cookieless.

Cookie Consent

When you first visit our website, a cookie consent banner will appear. You may:

  • Accept All: Consent to all analytics and third-party cookies (GA4, HubSpot, Cloudflare).
  • Decline: Reject non-essential cookies. We will not load GA4. Plausible (cookieless) will still function to help us understand website performance.

You may configure your browser settings to refuse cookies at any time, though this may affect certain website functionality. Your consent choice is saved in localStorage and remembered for 12 months.

5. Payments

If you make a purchase through our website, payment information (such as credit card details) is collected and processed by our third-party payment processor. We do not store your full payment card information on our servers. All transactions are encrypted using SSL technology.

6. Data Sharing and Third Parties

We do not sell, trade, or rent your personal information to third parties. We may share information with:

  • HubSpot CRM (for contact form submissions and customer relationship management)
  • Google Analytics and Plausible (for aggregated, anonymized analytics)
  • Service providers who assist us in operating our website and conducting business (under confidentiality obligations)
  • Law enforcement or regulatory agencies when required by law
  • Parties involved in protecting our rights, property, or safety

7. Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes outlined in this policy, or as required by law. Typically:

  • Contact form submissions: Retained in HubSpot until you request deletion or for business purposes (usually 3+ years)
  • Newsletter subscribers: Retained until you unsubscribe
  • Analytics data: Google Analytics data is automatically deleted after 14 months; Plausible retains data for 30 days
  • Payment data: Retained only as long as required for payment processing and tax/legal compliance

If you would like to request deletion of your data, please contact us at peter@hospitalityos.tech.

8. Your Rights (GDPR & CCPA)

If you are in the EU (GDPR):

You have the right to:

  • Access: Request a copy of your personal data
  • Rectification: Correct inaccurate information
  • Erasure (Right to be Forgotten): Request deletion of your data
  • Portability: Receive your data in a structured format
  • Objection: Opt out of marketing communications and certain processing
  • Withdraw Consent: Withdraw consent for data processing at any time

If you are in California (CCPA/CPRA):

You have the right to:

  • Access: Know what personal information we collect
  • Deletion: Request deletion of personal information (with some exceptions)
  • Opt-Out: Opt out of the sale or sharing of your personal information (we don't sell data, but you may still make this request)
  • Non-Discrimination: We will not discriminate against you for exercising your CCPA rights

To exercise any of these rights, contact us at peter@hospitalityos.tech and we will respond within 30 days.

9. Children's Privacy

Our website is not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, please contact us immediately so we can remove it.

10. Security

We take reasonable measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated effective date. Your continued use of our website after any changes constitutes your acceptance of the updated policy.
